2026 APS Annual Convention Presenter Checklist
Please Complete the Following Items Before the Convention:
✅Confirm your Participation
- Please confirm your participation before 3 April 2026 in the APS Speaker Center.
- Please use the personalized link included in your acceptance notification.
- Please email [email protected] if you are unable to find your Speaker Center link.
✅Register for the Convention
All attendees, including presenters and authors, must register and pay the appropriate registration fee to participate in the 2026 APS Annual Convention. No one, including presenters and authors, will be permitted into any Convention session without registering.
- Early-Bird Deadline: Wednesday, 8 April 2026, 5:00 PM ET (21:00 UTC)
- Presenter Registration Deadline: Wednesday, 6 May 2026, 5:00 PM ET (21:00 UTC)
- Regular Deadline: Wednesday, 6 May 2026, 5:00 PM ET (21:00 UTC)
- Late Deadline: Saturday, 30 May 2026

✅ Prepare Your Presentation Materials
Please follow the instructions below to create your Poster, Flash Talk, Submitted Talk, or Symposium presentation.
Note: Review notifications were sent in February and March 2026. Scheduling information is being sent in March 2026.
Poster Presenters
- Posters are presented in person during scheduled poster sessions on all days of the Convention, Thursday-Saturday.
- Posters are displayed in portrait format, on a poster board sized (A0 – 33.1 inches wide by 46.8 inches high (84.1 cm x 118.9 cm). Your poster may be sized up to the full board size, and will be affixed to the board using tape provided by APS.
- Include clear visuals such as tables, graphs, photographs, and large‑print text on your poster.

Submitted Talk Presenters
- Submitted Talks should be a 10–12 minute live presentation, followed by 3-minute audience Q&A time. You may not go over this total 15 minutes allotted time.
- You are required to upload your slides ahead of your presentation. Please follow the upload instructions sent by email.
- Be sure to upload your files up to 1 hour before your talk. Technical limitations in the meeting room will prevent you from doing so on-site.
- The Speaker Service Center is in Room M211, Level M2. AV technicians will assist with uploading your slides.
- Standard audio-visual equipment will be provided in the presentation room: LCD projector, screen, microphone, and speakers.
- When preparing your power point slides (.pptx preferred), please use the widescreen (16:9) default slide size.
- Report to your assigned meeting room at least 15 minutes before your scheduled start time. Note that there will be other Submitted Talks scheduled in the room prior to yours.

Flash Talk Presenters
- Flash Talks are 5‑minute individual presentations accompanied by slides.
- All Flash Talks align with one of the six Integrative Science Symposium (ISS) topics. Please learn more about the ISS subjects.
- You are required to upload your slides ahead of your presentation. Please follow the upload instructions sent by email.
- Be sure to upload your files up to 1 hour before your talk. Technical limitations in the meeting room will prevent you from doing so on-site.
- The Speaker Service Center is in Room M211, Level M2. AV technicians will assist with uploading your slides.
- Standard audio-visual equipment will be provided in the presentation room: LCD projector, screen, microphone, and speakers.
- When preparing your power point slides (.pptx preferred), please use the widescreen (16:9) default slide size.
- Report to your assigned meeting room at least 15 minutes before your scheduled start time. You’re encouraged to attend the ISS that your Flash Talk is connected with.

Symposia Presenters
- All symposia are scheduled in 80-minute time slots and should allow for discussion among presenters and the audience.
- You must bring your own laptop.
- Standard audio-visual equipment will be provided in the room: LCD projector, screen, microphone, and speakers.
- When preparing your power point slides, please use the widescreen (16:9) default slide size.
- Report to your assigned room at least 15 minutes before your scheduled start time.

✅Reserve Your Hotel Room
- The Convention will take place at the Centro de Convenciones Internacional de Barcelona (CCIB). The CCIB is a convention center and does not offer on-site hotel accommodations.
- To assist attendees, APS has negotiated special discounted rates at nearby hotels. Visit the Reserve Your Room webpage to book your room.

- APS expects all attendees and presenters to adhere to this Code of Conduct.
- This policy applies to all individuals participating in and affiliated with an APS event.
