Presentation Guidelines
Please use the guidelines below to finalize materials and prepare a smooth, professional delivery of your presentation at the 2026 APS Annual Convention in Barcelona, Spain.
Submitted Talk Presentation Guidelines
Submitted Talks are live, in‑person presentations scheduled in assigned meeting rooms.
Session Format
- Presentation: 10–12 minutes of prepared remarks and slides
- Q&A: 3 minutes for audience questions
- Total Session Time: 15 minutes
- You must stay within this allotted time as Submitted Talks are scheduled following each other.
Arrival & Check‑In
- Uploading your slides ahead of your presentation during your designated time is required in order to present.
- Report to your assigned room 15 minutes before your scheduled start time.
Flash Talk Presentation Guidelines
Flash Talks are live, in‑person presentations scheduled into sessions following each Integrative Science Symposium (ISS). Learn more about the ISS topics.
Session Format
- Presentation: 5 minutes (strictly enforced)
- Q&A/Transition: Very brief; the chair of each session will manage transitions.
- Total Session Time: 1 hour for each Flash Talk session, with 5 minutes per presenter plus additional time for Q&A and audience discussion.
Arrival & Check‑In
- Uploading your slides ahead of your presentation during your designated time is required in order to present.
- Report to the assigned room 15 minutes before the session start time.
- Limit the number of slides to 4–6 and your presentation to 4.5 minutes to avoid being cut off.
Symposium Presentation Guidelines
Symposia are live, in-person presentations scheduled in blocks that include multiple presenters plus discussion time.
Session Format
- Introductions & Presentations: Presenters deliver individual segments.
- Discussion: Substantial time should be reserved for audience discussion and audience Q&A.
- Total Time: 80 minutes.
Arrival & Check-In
- Please arrive to your session with your presentation loaded onto your own laptop.
- Report 15 minutes before the session to set up and test AV.
Poster Presentation Guidelines
Posters are displayed in-person during scheduled poster sessions throughout the Convention, Thursday-Saturday.
Poster Format
- Orientation & Size: You will be provided with one side of a free‑standing bulletin board, designed to fit within the standard size: A0 – 84.1 cm wide by 118.9 cm high (33.1 inches wide by 46.8 inches high), in either landscape or portrait orientation.
- Design: Large headings, clear visuals, and text readable from 3 – 4 feet. Include a short summary and 2–3 key takeaways.
- Display: Your poster will be affixed to the board using tape provided by APS.
Onsite Preparation
- Please arrive 10 minutes before your scheduled time to set-up your poster.
- Prepare a 60–90 second elevator pitch and 3–4 discussion prompts to engage visitors to your poster.
What to Expect During Your Session (All Submission Types)
- Arrival: Arrive early as noted above so you are ready to start on time.
- AV Set-Up: A standard AV is provided in session rooms (LCD projector, screen, microphone, and speakers) is provided for Flash Talks, Submitted Talks, and Symposia. APS provided laptops with presentations pre-loaded are provided for Flash Talks and Submitted Talks sessions. Symposia presenters must supply their own laptop.
- Session Support: APS staff may be available to assist, but presenters are responsible for starting and facilitating their sessions.
- Timing: Sessions will end at the scheduled time; please respect the schedule to avoid delays for the next presentation.
Registration and Event Access
All attendees, including presenters and authors, must register and pay the appropriate registration fee to participate in the 2026 APS Annual Convention. No one, including presenters and authors, will be permitted into any Convention session without registering.
