Global Summit Roundtable Session Rules and Guidelines

Ethics Policy & Code of Conduct

APS is committed to science being conducted, discussed, presented, and published in ways that promote the lively and productive exchange of ideas. To demonstrate this commitment, APS expects all attendees to conduct themselves professionally and, out of respect for others and for the spirit of our gathering, refrain from actions or speech that could reasonably be construed as harassing or personally disparaging. This policy applies to all individuals participating in and affiliated with an APS event. Please review the Ethics Policy and Code of Conduct page.

Overview of Roundtable Sessions

Roundtable sessions are an opportunity for attendees to lead discussions on a particular topic with fellow attendees. Roundtable session presenters should plan for a short presentation accompanied by slides (5-7 minutes), followed by a discussion with attendees. The entire session will be scheduled for 45-minutes. Roundtable session presenters can discuss empirical results, methods and tools, applications of psychological science, brainstorm a future research project, or find new collaborators. Each roundtable submission session will have 1 organizer and 1 co-presenter, for a total of 2 presenters listed. In the live roundtable session attendees will join the organizer and co-presenter for the discussion. Attendees are not listed on the submission.

Roundtable sessions have been scheduled in the below time blocks on each day of the event. Please indicate your scheduling preference in your roundtable session submission. APS will attempt to accommodate your scheduling preference, however, there is no guarantee that all requests will be met. Review notifications will be sent in early September. Scheduling notifications will be sent separately in September. No changes can be made to your assigned schedule.

Day 3 – Thursday, October 23, 2025   

  • 9:00 am – 9:45 am EDT (13:00 – 13:45 UTC)
  • 11:00 am – 11:45 am EDT (15:00 – 15:45 UTC)

Note: Roundtable session submissions will not automatically be considered for presentation as a poster. Since a limited number of roundtable sessions can be accepted, we encourage you to also submit your research as a poster. If you are submitting the same proposal as a roundtable session and a poster, please add either “Poster” or “Roundtable” to the beginning of the title. The submission system will not allow you to submit two proposals with the same title. If your submission is accepted for both a roundtable session and a poster, you may present both submission types. 

Presentation Guidelines

To ensure a smooth and engaging roundtable session, please review the following instructions:

  • Presenters should log in to the Event Platform at least 10 minutes before their scheduled session time to prepare and address any technical issues.
  • Organizers and Co-Presenters are responsible for initiating the session and facilitating the discussion. APS staff may be present to support, but will not lead or moderate the session.
  • Begin with a brief 5–7 minute overview of your research or topic, followed by an open discussion with attendees.
  • Use the platform’s screen sharing and live chat features to enhance interaction and participation.
  • Sessions are scheduled for 45 minutes and will automatically close after 50 minutes. Please manage time accordingly.
  • Roundtable sessions will not be recorded to encourage open and candid discussion.

Deadlines for Submission

All roundtable session submissions must be finalized and are due by the extended submission deadline of Tuesday, June 24, 2025 at 5:00 PM EDT (21:00 UTC). Notifications of acceptance or rejection of submissions will be sent out in early September 2025.

Review, Selection, and Notifications

  • Submissions will be reviewed by members of the Program Committee. A limited number of roundtable sessions can be accepted for presentation in the Global Summit, so please include as many relevant details as possible in your submission in order for the reviewer to effectively evaluate your submission.
  • Review decision notifications will be sent to the organizer on each roundtable session submission. These notifications will be sent in early September 2025.
  • With all submission formats, the Program Committee retains the right to request additional information, ask that changes be made to improve a presentation, or decline a presentation the Committee does not find relevant to the meeting or that does not follow the guidelines for submission. Please re-read your submission before you finalize it to ensure the submission is free of spelling or grammar errors and that all authors have been added to the submission. You may edit your submission until the extended submission deadline of June 24, 2025, at 5:00 PM ET (22:00 UTC).  No edits can be made to any submissions after June 24, 2025.

Speaker and Submitter Responsibilities

  • Submitters do not need to be members to submit proposals or to have proposals reviewed. Please note that you must log in to your APS Member Profile or create a free APS account in order to create a submission.
  • There is no membership requirement of any author on a submission. (Note: APS members receive discounted registration rates.) 
  • An individual may be an organizer or co-presenter on only one roundtable session submission.
  • However, that individual may be a co-author/presenter on multiple poster proposals.
  • The organizer and co-presenter must accept the speaker agreement if their submission is accepted for presentation. Information on how to do so will be included in your emailed acceptance notification.
  • The organizer and co-presenter must register for the Global Summit. Early-Bird registration rates are available until the deadline of September 17, 2025, at 5:00 pm ET (21:00 UTC).
  • The name of the proposal submitter will not appear in any program unless the submitter elects to be listed as an organizer or co-presenter. Submitter information is only used while submitting. After a submission has been finalized, all submission communication will be sent to the organizer and co-presenter.
  • The commitment of all participants must be secured in advance of proposal submission.

Program Participant Registration Policy

All presenters in the APS Global Psychological Science Summit must register for the event. APS members receive discounted registration rates. Early registrants receive a discounted rate before the Early-Bird deadline of September 17, 2025, at 5:00 pm ET (21:00 UTC).

Submission Guidelines

APS seeks presentations showcasing the latest findings in psychological science. Below are some guidelines that can assist in the preparation of your roundtable session submission.

To submit a roundtable session, you’ll need to enter the following information:

Submitter information: When you begin your submission, you’ll be prompted to log in to your APS Member Profile or create an account. Although membership is not required to submit your research, you must create a free APS Profile. Once you log in or create your account, you’ll be automatically redirected to the submission system to complete your submission.

Roundtable session title: The title should be succinct and descriptive. Please use Title Case – e.g., Meaning in Time: We Consider Our Lives Insignificant When Viewed from the Future.

Abstract (50-word maximum): A brief, high-level overview of the topic that will be presented. Roundtable session presenters can discuss empirical results, methods and tools, applications of psychological science, brainstorm a future research project, or find new collaborators.

Supporting summary: Provides a more in-depth overview of the topic and planned discussion and includes the following: the background/theory tested, the methods used, a summary of the major findings, and the implications for the work on the field as whole. If the submission is focused on methods and tools, applications of psychological science, or research projects, please use this section to thoroughly describe the presentation. (500-word maximum, plain-text format).

Emphasize the rationale, theoretical and/or applied significance of results, and general principles of the research. State whether the study is exploratory or confirmatory. It is not acceptable to say, “The results will be discussed.”

References are optional (words will count towards the 500-word maximum).

Subject area: Related area of research; used to match the proposal with the best-suited reviewer. A secondary subject area may also be selected.

Organizer and Co-Presenter Information: The university or business affiliation, individual e-mail address, and highest degree earned must be included for all presenters/co-authors. Each roundtable session will have 1 organizer and 1 co-presenter.

An individual may be the organizer on only one roundtable session submission. The organizer is the person who will lead the roundtable session. The organizer and co-presenter must register for the Global Summit.

No APS membership is required of any organizer or co-presenter. APS members receive discounted registration rates.
